Terms and Conditions of Registration

By registering for the 31st Australian National Clogging Convention – Clogging on Sunshine, held at the Broadbeach Cultural Precinct from 9–12 September 2027, you acknowledge and agree to the following terms.

1. Registration

Registration is not confirmed until the completed registration form and all applicable fees have been received.

Registrations are personal to the registered attendee and may not be transferred to another person without prior approval from the Convention Committee.

Attendees must ensure that the information supplied during registration is complete and accurate. Please notify the Convention Committee if any of your contact details, emergency information or registration requirements change.

2. Registration Fees and Payment

All registration fees are stated in Australian dollars.

Payment must be made by one of the payment methods offered during registration. Any applicable transaction or processing fees will be displayed before payment is completed.

Where a discounted registration rate or eligibility category is selected, the Convention Committee may request information confirming eligibility.

3. Cancellations and Refunds

Requests to cancel a registration must be submitted in writing to the Convention Committee.

Any refund, whether in full or in part, will be at the discretion of the Convention Committee and will be considered on a case-by-case basis. Where a refund is approved, transaction fees and any non-refundable costs already incurred on the attendee’s behalf may be deducted from the amount refunded.

Registrations may be transferred to another person with the prior approval of the Convention Committee.

Nothing in these terms excludes or limits any rights or remedies that cannot lawfully be excluded under the Australian Consumer Law.

4. Event Changes or Cancellation

The Australian Clogging Association and Convention Committee reserve the right to make reasonable changes to the event program, timetable, instructors, activities, venues or other arrangements where necessary.

If the event is postponed, cancelled or significantly changed, registered attendees will be contacted and advised of the available options.

The organisers are not responsible for personal travel, accommodation or other expenses incurred by attendees. Attendees are encouraged to consider the cancellation conditions attached to their travel and accommodation bookings.

5. Participation and Personal Responsibility

Clogging and other physical activities involve an inherent risk of injury. Each attendee is responsible for deciding whether they are physically able to participate safely in an activity.

Attendees should participate at a level appropriate to their own ability, fitness and health and should stop dancing if they feel unwell, experience pain or believe it is unsafe to continue.

Attendees are responsible for bringing any medication, equipment or other personal items they may require during the event.

Any injury, incident, hazard or safety concern should be reported promptly to a member of the Convention Committee.

6. Medical Assistance

In the event of an illness, injury or emergency, the organisers may arrange first aid, medical assistance or emergency services where they reasonably believe this is necessary.

Any costs associated with medical treatment, ambulance transport or other external services remain the responsibility of the attendee.

Emergency and health information supplied during registration will only be accessed or shared when reasonably required to assist with an emergency, safety matter or the administration of the event.

7. Behaviour and Event Safety

Attendees are expected to behave respectfully towards other attendees, instructors, volunteers, venue staff and members of the public.

Harassment, bullying, discrimination, threatening behaviour, deliberate disruption or conduct that places another person’s safety or enjoyment at risk will not be accepted.

The organisers may refuse entry or require a person to leave the event where their behaviour is unsafe, unlawful, seriously disruptive or inconsistent with these expectations. A refund may not be provided where removal results from the attendee’s own conduct.

Attendees must follow reasonable instructions given by the Convention Committee, instructors, volunteers, venue staff or emergency personnel.

8. Children and Young People

A parent or legal guardian must complete or approve the registration of an attendee under 18 years of age.

Parents and guardians remain responsible for the supervision, behaviour, wellbeing and safe collection of children in their care unless a specific supervised activity has been expressly arranged by the organisers.

9. Photography, Video and Media

Photos and videos may be taken throughout the convention by authorised photographers, organisers, volunteers, attendees and members of the public.

Images and recordings captured by or on behalf of the Australian Clogging Association may be used to document and promote the convention, the Association and clogging. This may include use in:

• Australian Clogging Association newsletters and publications;

• websites and event applications;

• social media posts;

• promotional videos and advertisements;

• printed promotional material; and

• future event promotions and historical records.

By registering, you acknowledge that you may appear incidentally in the background of photographs or recordings taken during workshops, social dancing, performances, presentations and other group activities.

The Australian Clogging Association will make reasonable efforts to respect attendees who do not wish to be deliberately photographed, filmed or featured. However, because clogging is a group activity and the convention is a large public-facing event, it may not always be possible to prevent incidental appearances in the background of photographs or recordings.

Attendees who do not wish to be deliberately featured should advise the Convention Committee during registration or at the registration desk upon arrival. Where practical, attendees may be provided with a way to indicate this preference to authorised event photographers.

This preference does not guarantee exclusion from wide-angle crowd photographs, group recordings, live event coverage or incidental background footage.

Attendees must not take or share photographs or recordings in a manner that is intrusive, unsafe, disrespectful or contrary to a reasonable request from another attendee.

10. Personal Information and Privacy

Personal information collected during registration will be used for purposes connected with administering the convention. This may include:

• processing registrations and payments;

• communicating event information and updates;

• preparing attendance lists, name badges and event materials;

• supporting safety, accessibility and emergency arrangements;

• managing dietary or other notified requirements;

• maintaining appropriate Australian Clogging Association records; and

• meeting legal, insurance, financial or reporting obligations.

Information may be shared with authorised Convention Committee members, Australian Clogging Association officers, event service providers or venue personnel where reasonably necessary for these purposes.

Personal information will not be used or disclosed for unrelated purposes except with permission or where required or authorised by law.

11. Dietary and Accessibility Requirements

The organisers will make reasonable efforts to accommodate dietary, accessibility and participation requirements disclosed during registration.

Some requirements may depend on venue, catering or supplier capabilities and cannot be guaranteed. Attendees should provide complete and accurate information by the published deadline and contact the Convention Committee where a requirement may affect their ability to participate safely.

12. Personal Property

Attendees are responsible for their own clothing, dance shoes, electronic devices, valuables and other personal belongings.

To the extent permitted by law, the Australian Clogging Association, Convention Committee and venue are not responsible for personal property that is lost, stolen or damaged during the event.

13. Acceptance of Terms

By submitting a registration, you confirm that:

• you have read and understood these terms;

• the information supplied in your registration is accurate;

• you agree to follow reasonable event and venue requirements; and

• where you are registering another person, you are authorised to accept these terms on their behalf.

For attendees under 18 years of age, acceptance must be provided by their parent or legal guardian.

These terms should be read together with any published event information, cancellation policy, privacy policy and Australian Clogging Association policies that apply to the convention.
